Job responsibilities:

  • Assist with department work overflow and / or absence.

  • Manage reception along with receptionist on daily basis

  • Support staff in assigned project based work.

  • Prepare and maintain purchase order , liaise with the suppliers

  • Support Admin Manager for all Dubai and JAFZA office admin matters

  • Support senior management tasks like arranging the meetings, travel, transport and accommodation, restaurant reservation etc.

  • Support in organizing meetings (internal / external), events and conferences

  • Maintain well organized filling / Archiving  system for all office records, documents

  • Order and maintain office supplies, business cards etc. and coordinate with the facility management company for maintenance  issues

  • Manage office supplies, equipment, furniture, computer and telephone services, and product orders

  • Contributes to team effort by accomplishing related results as needed

  • Support all tasks related to efficient and smooth running of the front desk/office

  • Maintain the streamlining of daily admin process and procedures

  • Maintaining databases and tracking important deadlines

  • Manage couriers, telephones, declaration of expenses, driver books mainly related to the reception

  • Arrange for meals for office visitors, senior management (as and when required) and events like internal meetings, workshops and visiting clients.

You bring (qualifications & experience)

  • Minimum 3-4 year experience as Admin Assistant or Receptionist

  • Excellent communication skills English , both verbal and written.

  • Must be immediately available to join and have own UAE visa.

  • UAE drivers license is preferable.

  • Problem-solving/judgment: the ability to observe, think critically and to solve problems using data, analysis, interpretation, and reasoning skills

  • Ability and willingness to learn from experience, adapt and embrace new situations.

  • Being open to new experiences, people and information.

  • Desire to excel and grow new skills

  • Organization skills, multi tasker and excellent time management skills
