Job Description

With exceptional expertise in geotechnical ground investigation, our Exploration Teams are responsible for acquiring accurate environmental, geotechnical, and geophysical data that are key to reducing the risk and cost of land development.

The Operations Support Assistant is responsible for developing and confirming the operation administrative functions of the department to ensure proper and timely processing of all requests. The role supports the Drilling team with the coordination of resources to fulfil site operations needs to deliver the services to clients.

Job Responsibilities

  • Lead by example and place Quality, Health & Safety, Security, and the protection of the Environment as core values while never intentionally placing employees, our processes, customers, or the communities in which we live and work at risk.

  • Work with Operations and Project Teams to fulfil department project requirements.

  • Liaise with Workshop and Operations team to fulfil site requirements.

  • Assist with checking and coordinating trainings/competency needs as required.

  • Partner with HR to assist new hires throughout their onboarding process.

  • Assist with the arrangement of crew related travel to site - hire cars, flights, accommodation, agent transfers if required.

  • Assist with arranging other travel needs as requested by the business.

  • Assist with passport and visa requirement and validity for project requirements.

  • Assist with project related site security clearances/pass applications.

  • Obtain insurance certificates for various projects.

  • Assist in the communication and monitoring of timely vehicle inspections and registrations.

  • Raise purchase order requisitions for required project and department purchases.

  • Verify and confirm receipt of goods for updating purchase order system.

  • Process supplier invoices for processing to AP for payment.

  • Assist with department timesheets to ensure accurate reporting.

  • Entry and review of crew expense reports including company credit card transactions.

  • Organize office operations and procedures such as supply requisitioning and production of documents.

  • Support and encourage continuous improvement of the company’s processes, including safety program and quality management system.

  • Assist in other duties and projects as needed.

  • Ensure accordance to company standards, industry standards, QHSSE policy and local regulations.

Job Requirements

  • Legally Authorized to work in the United States, without restrictions.

  • High school diploma required, Bachelors preferred.

  • Have 1 year of experience or more in administrative roles.

  • Possess strong working knowledge of computers and fluent in a variety of software applications (including but not limited to MS Office).

  • Advanced knowledge of Windows operating system, including but not limited to Windows 7.

  • Must have excellent and effective oral and written communication, interpersonal, and organizational skills.

  • Demonstrate capacity to work in an organized fashion with multiple priorities, under pressure, and with frequent changes.

  • Must be able to work independently without supervision or with minimal supervision as well working in a team environment in a fast-paced environment.

  • Ability to take direction from others, be open minded, and willing to share ideas.

  • Must have strong analytical and problem-solving skills.

  • Ability to stand, walk, and use hands to feel or handle things; ability to stoop, kneel, crouch, or crawl; talk and hear; able to sit, reach with hands and arms, climb and balance.

  • Work is primarily conducted in an office/home office environment.

  • Some work sites will include an environment which is usually loud and you will be regularly exposed to vibration, frequently exposed to outdoor weather conditions, occasionally will be exposed to wet or humid conditions (non-weather related), working near moving mechanical parts, fumes/airborne particles, extreme cold or heat (non-weather related), risk of electrical shock, and working in high precarious places.

  • Ability to lift to 25 pounds; occasional lift/move 25-100 pounds, while following HSSE safety guidelines.
