Responsibilities:

  • Assist with department overflow and/or absence

  • Support staff in assigned project-based work.

  • Prepare and maintain purchase order, liaise with the suppliers

  • Support Admin Manager for all Dubai and JAFZA office admin matters

  • Support in regional tasks like arranging the RMM, booking and arranging travel, transport and accommodation, restaurant reservation

  • Support in organizing meetings (internal/external), events and conferences

  • Maintain well‑organized filing/archiving system for all office records, documents

  • Order and maintain office supplies and coordinate with the facility management company for maintenance issues

  • Manage and oversee the office assistants team

  • Oversee daily office operations, ensuring a professional, efficient, and well‑maintained work environment.

  • Manage vendor relationships, service contracts, and procurement processes.

  • Develop and implement office policies, procedures, and operational standards

  • Coordinate complex travel arrangements, itineraries, and logistics for senior leaders.

  • Review and process expense reports, ensuring compliance with company policies.

You bring (qualifications & experience):

Priority will be given to immediate joiners.

  • Minimum 3–5 year experience in administrative, operational, or coordination roles

  • Excellent communication skills in English, both verbal and written

  • Clean UAE driver’s licence is essential

  • Problem‑solving/judgment: the ability to observe, think critically and to solve problems using data, analysis, interpretation, and reasoning skills

  • Ability and willingness to learn from experience, adapt and embrace new situations.

  • Being open to new experiences, people and information.

  • Desire to excel and grow new skills

  • Organization skills

  • MS Office proficient

Soft Skills

  • Exceptional communication and interpersonal abilities.

  • Strong decision‑making, prioritization, and problem‑solving skills.
