Job Description
Join Fugro as an Executive Assistant and play a vital role in supporting senior leadership across our Europe & Africa region. Based in Aberdeen, you’ll provide proactive executive administration, diary management, communication coordination and organisational support, helping leaders operate effectively in a fast-paced and dynamic environment. Your role and responsibilities:
You’ll be reporting to the Director Marine Asset Integrity, Europe & Africa and providing executive support across key regional leadership functions. You’ll work closely with colleagues throughout Fugro, as well as external stakeholders, ensuring seamless administrative operations and effective communication.
Managing complex diaries, scheduling meetings and coordinating travel arrangements for senior leaders.
Providing comprehensive executive support to the Director Marine Asset Integrity, Europe & Africa.
Supporting the Strategy Growth & Consultancy Director, Aberdeen Hub Manager and Regional Head of HSSE Europe & Africa with ad hoc administrative requirements.
Coordinating meetings, preparing agendas and ensuring documentation is available and distributed in advance.
Managing communications, correspondence and information flow on behalf of senior leadership.
Preparing high-quality reports, presentations, briefing materials and business correspondence.
Attending meetings and producing accurate minutes, actions and follow-up documentation.
Handling confidential and sensitive information with professionalism, discretion and integrity.
Building effective relationships with stakeholders across the Europe & Africa region and external organisations.
Proactively identifying potential issues, prioritising competing demands and ensuring administrative activities run smoothly.
What you’ll need to thrive in this role:
Previous experience in an Executive Assistant, Personal Assistant, or similar senior administrative support role.
Excellent organisational, administrative and coordination skills, with the ability to manage multiple priorities and meet tight deadlines.
Strong written and verbal communication skills, with the confidence to build effective relationships and influence stakeholders at all levels.
A proactive, solutions-focused approach, with the ability to anticipate challenges, take ownership and work independently to deliver high-quality results.
Strong attention to detail, numerical aptitude and the ability to handle sensitive information with professionalism and confidentiality.
A professional, approachable and customer-focused mindset, with excellent interpersonal skills and a collaborative approach.
